Privacy Policy

Cleared (“we”, “us”) is a digital dispatch app for general aviation operated by Waisssoft. This policy explains what information we collect when you use the Cleared app and website at clearedflight.com, and how we use it. Using the Service also means you agree to our Terms of Service.

Information we collect

• Account email: your email address is stored in our PostgreSQL database (hosted by Supabase) and is used to identify your account, let you sign in, and send you messages.
• Account details: name, phone number, and authentication data (including Sign in with Apple, if you choose it).
• Pilot profile: license number, default aircraft type, tail number, and an optional profile photo from your photo library.
• Operational data: checklists you create or that are shared with you, flight times, origin and destination airports, groups, and sharing with other Cleared users you choose. We do not ship official manufacturer checklists.
• Website waitlist: if you join the waitlist on this website, we store the email you submit so we can notify you about the product.
• Communications: emails we send you through our email provider, Resend — including account setup, password reset, waitlist updates, and airport or handling messages you trigger from a checklist (for example Haifa or Swissport requests, using the addresses configured by an administrator).
• Support: messages and optional attachments you send through in-app support.
• Device permissions: photo library access (only if you pick a profile photo) and notifications (only if you enable reminders).
• Terms acceptance: the date and version of the Terms of Service you accepted.
• Security and error logs: when something fails in the app, operator desk, admin site, or APIs, we record a timestamp, which surface and route it came from, an HTTP status or error code, a redacted message, and a request id. We do not store passwords, tokens, cookies, message bodies, PPR codes, or license numbers in this log. Crash reports include the screen name, not app state dumps.
• Optional operational events: a system administrator may turn on extra records for failed or successful sign-in, FBO create / onboarding steps, landing-request status changes (id and new status only), and admin actions. These are off unless enabled, except failed sign-in which is on by default for account protection.

We do not sell your personal information. We do not use your data for advertising.

How we use information

• To create and secure your account, and to let you sign in.
• To provide digital dispatch, checklist, sharing, and reminder features.
• To send transactional email via Resend when you request it or when it is required for the account, waitlist, or a checklist action you start.
• To operate, maintain, and improve the service, including diagnosing faults.
• To protect accounts and keep an audit of privileged admin actions when that logging is enabled.

Storage and processors

Account and app data, including your email, are stored in PostgreSQL with our database provider Supabase. The website and APIs are hosted on Vercel. Transactional and operational email is sent through Resend, which receives the recipient address and message content needed to deliver that mail. If configured, server-side details of HTTP 500 errors may also be sent to Sentry to help us diagnose faults. These parties process data only to provide their services to us. Operations logs are stored in the same Supabase database and are visible only to Cleared system administrators through the admin console. We do not send this log to advertising or product-analytics tools.

Sharing

We share information only: (a) with other Cleared users when you share a checklist or add someone to a group; (b) with service providers listed above; (c) if required by law; or (d) with your direction.

Retention and your choices

You can permanently delete your account in the app: open your profile and choose Delete account. This removes your profile, private checklists, groups, and sharing, and anonymizes operations-log rows that pointed at your user id (error counts may remain without identifiers). Security and error logs are kept up to 90 days; failed sign-in records up to 180 days; optional activity logs up to 90 days. You can disable notifications in the app or in iOS Settings. Children

Cleared is intended for licensed pilots and aviation professionals. It is not directed at children under 13, and we do not knowingly collect their data.
